Hood cleaning certificate is current

Cleaning date is within the NFPA 96 Table 12.4 frequency window for your cooking type (monthly for solid fuel, quarterly for high-volume, semi-annually for moderate, annually for low).

Cleaning frequency matches cooking type

Your cleaning schedule is based on your actual cooking operations — not a generic annual visit. NFPA 96 Table 12.4 determines the correct frequency.

CECS (Certified Exhaust Cleaning Specialist) is the industry certification. PECT (Power Washing and Environmental Cleaning Technician) is the entry-level designation. Both demonstrate qualified service.

All ductwork access panels functional

Access doors on ductwork open and close properly. Missing or sealed panels mean portions of the system cannot be cleaned or inspected.

Rooftop grease containment in place

Grease containment system on rooftop prevents grease runoff from the exhaust fan onto the building structure or neighboring properties.

Fire Suppression System

Ansul / wet chemical system inspected within 6 months

Fire suppression system must be inspected and serviced per NFPA 17A every 6 months. This is typically a separate vendor from your hood cleaner.

Current inspection tag visible on system

The 6-month inspection tag must be attached to the suppression system and visible to fire inspectors.

Medium Risk if Missing

Manual pull station accessible and unobstructed

The manual activation pull station must be reachable without moving equipment, stock, or supplies. Staff should know its location.

Documentation & Records

All records organized and accessible within 24 hours

Hood cleaning certificates, suppression reports, and photos must be producible on demand. After a fire, your insurer will request these immediately.

High Risk if Disorganized

Cleaning vendor's insurance and COI on file

Your hood cleaning company should provide a Certificate of Insurance. If they cause damage during cleaning, their insurance covers it — not yours.
